1. Who we are
Fertility with Yara is operated by Yara Safieddine, sole trader, London, UK ("I", "me", "we"). I am the data controller for the personal information described in this policy. Contact: hello@fertilitywithyara.com.
2. The information I collect
- Contact and enquiry details: your name, email address, the service you're interested in, where you are in your fertility journey, and anything you write in your message.
- Booking details: your name, email, chosen appointment time and any answers to booking questions.
- Coaching information: notes from sessions and anything you choose to share with me during coaching, including in messages.
- Payment information: payment confirmations and the amount paid. Card details are handled by the payment provider; I never see or store your full card number.
- Email list information: your email address, first name, the stage of your journey you select, and whether you open or click emails.
- Technical information: basic information your browser sends when you visit the website, such as your IP address and device type, processed by the website host for security.
3. Health and special-category data
Information about your fertility, treatment, pregnancy, pregnancy loss or health is special-category data under the UK GDPR, and it may also reveal information about your sex life or sexual orientation. I treat it with particular care:
- I only process it with your explicit consent, which you give by ticking the consent box on a form, or confirming it in writing before coaching begins.
- You never have to share medical details to make an enquiry.
- I use it only to provide the support you have asked for.
- You can withdraw your consent at any time by emailing me. This won't affect anything done before you withdrew it, but I may not be able to continue coaching without it.
4. Why I use your information, and the lawful basis
- To reply to your enquiry and arrange a call: legitimate interests and, for health information, explicit consent.
- To provide coaching you have booked: performance of a contract and, for health information, explicit consent.
- To send you the free checklist, resource waitlist updates and marketing emails: consent. You can unsubscribe at any time using the link in every email.
- To keep financial and tax records: legal obligation.
- To keep the website secure and working: legitimate interests.
5. Who I share information with
I never sell your information. I use a small number of trusted service providers who process data on my behalf:
- MailerLite (email newsletters, resource waitlists and the free checklist): stores your email address, name, selected journey stage, the resources you tell me you're interested in and email activity.
- Calendly (appointment booking): stores your name, email and booking details.
- Stripe (payment provider): processes payments securely; Stripe acts as an independent controller for some payment data, such as fraud prevention.
- Form provider (website contact forms): passes your message to my inbox.
- Email and video-call providers I use to communicate with you and hold sessions.
- Website hosting provider, and professional advisers such as an accountant where required.
Some of these providers may store data outside the UK. Where they do, they use safeguards approved under UK data protection law, such as the International Data Transfer Agreement or UK Addendum to the EU Standard Contractual Clauses, or an adequacy decision.
I would only share information about you with anyone else if the law requires it, or if I believed there was a serious risk of harm to you or someone else (see the confidentiality section of the Terms).
6. How your information is stored
Information is kept in password-protected accounts with two-factor authentication where available. Session notes are kept to a minimum and stored securely. Only I have access.
7. How long I keep it
- Enquiries that don't lead to coaching: up to 12 months.
- Client records and session notes: up to 2 years after our last session, unless you ask me to delete them sooner.
- Financial records: 6 years, as required by HMRC.
- Email list: until you unsubscribe, after which your address is kept only on a suppression list so you aren't emailed again.
8. Cookies and analytics
This website does not currently use advertising or analytics cookies. If I add analytics in the future, I will use a privacy-friendly tool or ask for your consent before any non-essential cookies are set, and update this policy. Embedded services such as Calendly may set their own cookies when you use them.
9. Your rights
Under UK data protection law you have the right to: access the information I hold about you; ask me to correct it; ask me to delete it; restrict or object to how I use it; ask for a copy to be transferred to you or someone else; and withdraw consent at any time. To make a request, email hello@fertilitywithyara.com. I will reply within one month. There is usually no charge.
10. Complaints
If you have a concern, please contact me first and I will do my best to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator: ico.org.uk/make-a-complaint, telephone 0303 123 1113.
11. Changes to this policy
I may update this policy from time to time. The latest version will always be on this page.
